Every answer points to its document
When a company’s information is spread across repositories, internal portals and standalone documents, an AI knowledge system can save a lot of search time. But it is only reliable if every answer links to the document it comes from, with its title and date, so the person asking can consult the full original.
I would start with a collection with a clear purpose, such as customer service procedures or a product’s manuals. If instructions contradict each other, decide which is valid before adding them: the system won’t resolve that inconsistency on its own.
Integration and synchronisation
Integration can use each platform’s API, an existing connector or an authorised export, depending on the systems and permissions available. What is essential is defining how often content is updated and how a modified, deleted or moved document is detected.
Preparing the content always surfaces issues: empty documents, duplicates, badly extracted tables or information that only exists as an image. I also record when each source was last updated, which explains why an answer contains outdated information.
Permissions also apply at search time
A person being able to access a repository doesn’t mean they should see all its content through the system. The integration must respect source permissions or apply verifiable equivalents, taking into account each user’s actual access.
A common mistake is integrating the system with a technical account that has full access and letting that access extend to every user. It is a design I always avoid.
Validating answers and links
I test questions that need a specific instruction and others that require combining several sources. I check whether the cited passage really supports the answer and whether the link works for that user. I include a withdrawn document and a recently modified one to verify synchronisation.
In the interface I would add a simple way to flag an answer as unhelpful. Reviewing them shows whether documentation is missing, search is failing or the model misread the text, and each case is fixed differently.
If your company’s knowledge is scattered and you want to make it searchable, here is how I work, or book a meeting and we’ll look at your case.
