Start with one type of document
Many companies spend hours every week reading documents and moving their information into other systems: supplier invoices, contracts, case files, tender documents or client paperwork. AI can take on much of that work, but the design must start with a single document type and a specific question: which data is needed and what for.
I define which fields to extract, in which format and which documents are out of scope. A focused system is easier to validate and safer to expand.
Classify, extract and validate
The process has three stages. First, the system identifies what type of document it has received. Then it extracts the defined fields, whether from a native PDF, a scan or an image. Finally, it validates the data against business rules: that amounts add up, dates are consistent or the supplier exists in your systems.
This last stage is what turns an automatic reading into reliable data. A model can read a number correctly and that number can still make no sense in its context.
When a person steps in
Not every document needs the same treatment. I define thresholds: whatever passes every validation is integrated directly, and anything doubtful goes to a review queue, where a person sees the original document next to the extracted data and confirms or corrects it.
Every value keeps a reference to its source document and page. That traceability makes any value auditable and explains where it comes from.
Integration and measurement
Validated data is integrated into the relevant system through its API, with duplicate control and error handling. If the target system doesn’t respond, the operation stays pending and is retried without creating repeated records.
Before going live I measure accuracy with a sample of real documents: what percentage of fields is extracted correctly and how many documents require review. That figure, not a demo, is what tells you whether the system is ready.
If your team spends hours reviewing and transcribing documents, here is how I work, or book a meeting and we’ll look at your case.
