When people in a company constantly ask about the status of a request, it is rarely a people problem. Usually the work passes through several systems and at some point traceability is lost. Before replacing a platform or commissioning an integration, I locate that point.
I reconstruct a real request end to end
I take a recent request and reconstruct it with the people involved: where it came in, which data was moved from one system to another and when it was closed. It doesn’t require sophisticated tools; a structured analysis and a conversation with the team are enough.
I look for the moments when someone had to stop and ask. If the next person needed context, something specific is usually missing: a visible status, an assigned owner or a notification to the right person.
Not everything is solved by integrating systems
It helps to separate two situations. If nobody has defined who handles a certain type of request, an integration won’t decide it; that is solved by organising responsibilities. If the owner is clear but the information doesn’t reach them in time, integrating systems or adding AI does add value.
I also check whether the platforms you already use offer that tracking without further development. It is the most efficient option and sometimes sufficient.
I design the change around a specific case
A common change is linking the intake record with the system where the request is managed, so it is always clear who owns it and what is needed to close it. AI can classify each entry, extract the relevant data and assign it to the right person.
My criterion is that anyone with access can open the case and understand what has been done and what is pending without having to ask.
I measure whether the change works
After the change I check whether internal questions about request status go down and whether issues reach the right person. I also consider whether new review or maintenance work has appeared, because that is part of the result.
With that data you can decide whether to extend the same approach to other processes. I recommend starting with a focused one and seeing how it fits into daily operations before expanding.
If work in your company loses traceability between systems, here is how I work, or book a meeting and we’ll look at your case.
